What About Imperfect Receipts?

Receipts in the real world are rarely pristine. Here's what SendItSheets can and can't handle.

โœ… Often handled well

  • Slightly blurry phone photos
  • Faded thermal paper (when still partially legible)
  • Receipts with minor wrinkles or folds
  • Long receipts with many line items
  • Receipts with both English and numeric data
  • Low-resolution scans (150+ DPI recommended)

โš ๏ธ May produce incomplete results

  • Heavily faded or washed-out text
  • Very blurry or out-of-focus images
  • Severely crumpled or torn receipts
  • Skewed or rotated scans at extreme angles
  • Partial receipts with cut-off sections
  • Very low contrast (light text on light background)

๐Ÿ’ก Tips for better extraction accuracy

Place the receipt on a flat, dark surface. Use good lighting and avoid shadows. Make sure the full receipt is in the frame and in focus. For thermal paper receipts that are fading, scan or photograph them sooner rather than later. Thermal ink degrades over time.

Receipt to Excel vs. Receipt to CSV

Choose the format that fits your workflow. Both are available for every extraction.

๐Ÿ“Š

Excel (.xlsx)

Best for reviewing, formatting, and working with data interactively. Supports formulas, conditional formatting, and multiple sheets.

Common uses: Expense reports, bookkeeping review, tax preparation worksheets, manual review before filing, sharing with accountants.
๐Ÿ“‹

CSV

A lightweight plain-text format for importing into other systems. Compatible with virtually all software that reads tabular data.

Common uses: QuickBooks import, Xero import, database ingestion, automation pipelines, bulk uploads to accounting platforms.

Why People Convert Receipts to Spreadsheets

From freelancers to finance teams, these are the most common reasons people use receipt-to-Excel tools.

๐Ÿ’ผ

Expense Tracking

Convert a month of business receipts into one organized spreadsheet. Filter by category, date, or vendor.

๐Ÿ“Š

Bookkeeping

Process stacks of client receipts quickly. Export to CSV for direct import into QuickBooks, Xero, or FreshBooks.

๐Ÿงพ

Tax Preparation

Organize deductible expenses before tax season. Having receipts in a spreadsheet makes categorization faster.

๐Ÿ’ต

Reimbursement

Build clean expense reports for employer reimbursement. Attach the spreadsheet alongside original receipt images.

๐Ÿงณ

Travel Expenses

Meals, hotels, rideshares, and gas. Consolidate all travel receipts from a trip into one spreadsheet.

๐Ÿ

Small Business

Track business purchases without manual data entry. Maintain records for accounting and monthly expense reviews.

How to convert receipts to Excel with SendItSheets

Whether you're reconciling expenses for yourself or processing receipts for multiple clients, the workflow is the same. Sign in, select "Receipt" as the document type, and upload your files. You can upload individual receipt PDFs and images, or drag in a batch of up to 50 at once.

Choose whether you want one Excel file per receipt or a combined spreadsheet with all receipts in a single file. Review the extracted data in the built-in editor, adjust any fields if needed, then download as Excel, CSV, or JSON.

Why receipt data extraction is harder than it looks

Receipts come in countless formats. Some list items vertically, others horizontally. Some include tax as a separate line, others bundle it into the total. Many have faded ink, creases, or poor lighting from phone photos. Thermal paper receipts degrade over time, making the ink harder to read with each passing week.

SendItSheets is tuned specifically for receipts. It identifies patterns like merchant headers, itemized lists, and total blocks, and handles the messiness of real-world receipt layouts. That said, extraction quality is always dependent on what's actually legible. Heavily degraded receipts will produce less complete results.

Security and data handling

Receipts can contain sensitive information like partial card numbers and purchase details. SendItSheets is designed with that in mind:

  • Documents are transmitted and stored using encryption.
  • Files are automatically deleted after 24 hours.
  • Data is never sold or used for advertising.
  • Only you can access your uploaded receipts.

SendItSheets has dedicated guides for specific receipt-to-spreadsheet workflows depending on where your data needs to land:

Receipt to Excel: Frequently Asked Questions

Can I convert scanned receipts to Excel?
Yes. Scanned receipts are processed through OCR (optical character recognition) before data extraction. PDF, JPG, PNG, and TIFF scans are all supported. For best results, scan at 200 DPI or higher.
Does this work with phone photos of receipts?
Yes. Upload a photo taken with your phone camera and SendItSheets will extract the data. For best results, make sure the receipt is flat, well-lit, and fully visible in the frame.
Can receipt line items be extracted?
Yes, when line items are legible on the receipt. Individual item names, quantities, and prices are extracted into separate rows. Results depend on the receipt layout and image clarity.
What happens if a receipt is faded or blurry?
SendItSheets can often still extract usable data from partially faded or slightly blurry receipts. However, heavily degraded images may produce incomplete results. You can always review and correct any extracted data before exporting.
What file types are supported for receipt uploads?
PDF, PNG, JPG, JPEG, and TIFF files. You can upload receipt images from your phone, scanned documents, or digital PDF receipts.
Can I export receipts to CSV?
Yes. Every extraction can be downloaded as Excel (.xlsx), CSV, or JSON. CSV is useful for importing into accounting software like QuickBooks, Xero, or FreshBooks.
Can I review the extracted data before exporting?
Yes. After extraction, data is displayed in an editable spreadsheet interface. You can correct any fields, add notes, or remove rows before downloading.
Is there a free receipt to Excel demo?
Yes. You can upload a receipt directly on this page to try it with no account required. Registered users get 10 free pages every month. Paid plans start at $20/month for higher limits.
Can I process multiple receipts at once?
Yes. With a free account, you can upload up to 50 receipts in a single batch. All data is extracted simultaneously and can be combined into one spreadsheet or downloaded individually.
Is my receipt data secure?
All files are encrypted in transit and at rest. Uploaded files are automatically deleted after 24 hours. Data is never shared with third parties or used for advertising.
